Event Services Intern (Spring 2019)

SmithBucklin, an Association Management Company that provides professional services and strategic leadership to nonprofit organizations, is looking for a forward-thinking and energetic Event Services Intern to join the DC team in spring 2019. This individual will be responsible for supporting several association clients with meeting, registration and exhibitor needs in a fast-paced environment. This is a unique opportunity to gain unparalleled corporate meeting planning experience and network with clients, team members and other industry professionals.
In addition to hands-on learning through client work, SmithBucklin interns will participate in weekly cohort-based educational and professional development opportunities each Friday morning from 10:00am ? 12:00pm local time. By attending presentations, group discussions, workshops and networking events, our interns will learn about association management career opportunities while finessing the relationship building, collaboration, teamwork and presentation skills required to thrive in today's workforce.
Internship Program Components:
18 total paid hours of work per week - 16 hours of on-the-job training and 2 hours of cohort-based educational and professional development workshops
Paid half-day orientation on Friday, January 18, 2019
Program officially begins week of January 21, 2019 and concludes week of April 29, 2019
Comprehensive performance evaluation at the end of the program

Primary Duties & Responsibilities:
Assist and contribute to planning of meetings, events, tradeshows and registration (e.g. pre-show mailings, clerical support, customer service, post-event support and evaluations)
Process contracts in Expocad
Perform housing audits
Create F&B grids
Help process payments, including invoicing and balance due calls
Order event d?cor
Develop and manage request for proposals
Prepare name badges, signs and other registration materials
Research information on meeting and event venues
Ensure that work is being carried out to specifications and deadlines
Facilitate continuous communication between other SmithBucklin units to meet the needs of client organizations
Perform other duties as assigned or needed
Basic Qualifications:
Must be a U.S. citizen and resident of the DC metro area
Enrolled Undergraduate Seniors, preferably in Business, Communications or Hospitality programs
Able to commit to working 18 hours in-office weekly
Available to attend professional development sessions in person on Friday mornings
Proficient in Microsoft Office Suite (Word, Excel and PowerPoint)
Self-starter and detail-oriented individual with strong communication, interpersonal and organizational skills
Demonstrated ability to multitask and hit numerous deadlines simultaneously
Ability to learn quickly and adapt to new technology tools/platforms
Adaptable to changing and unpredictable situations
Comfortable working independently and as part of a team
Reliable and not afraid to ask for more when an assigned task is completed
Preferred Qualifications:
Involvement in planning or attending corporate meetings, conferences or tradeshows
Experience managing different databases

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
